Background
The client is a not-for-profit integrated health system with operations across multiple states. The organization includes over 30 hospitals, nearly 400 outpatient clinics, a Medical Group of over 2,500 physicians and advanced practice providers, and a health plan serving over 900,000 members. With a workforce of more than 65,000 caregivers, the health system is widely recognized as a national leader in using evidence-based practices, advanced analytics, and digital health innovations to deliver high-quality, affordable care.
Challenge
Ahead of the Epic go-live, the health system faced the massive task of abstracting legacy patient data to ensure accurate clinical information was available in the new EHR from day one. Under an accelerated timeline, the team had just nine weeks to reconcile over 400,000 patient records from multiple legacy systems, including Intergy, TouchWorks, Dentrix, Mosaiq, and Cerner.

Solution
Optimum partnered with the health system well ahead of the project launch to provide advisory and project planning services for abstraction. Our team collaborated closely with client leaders to validate scope and timeline assumptions, estimate the right resource mix, conduct dry runs to refine workflows and throughput, and coordinate with the information security team on secure onboarding. In parallel, we worked directly with Epic to plan data extracts and reporting needs. This early engagement created a clear roadmap, aligned technical dependencies, and helped remove potential barriers before the project began, laying the foundation for success.
When the project entered full execution, Optimum deployed a large-scale abstraction operation powered by its proprietary abstraction software, ABX. This approach enabled efficient, accurate data reconciliation at scale and ensured the health system’s Epic go-live was supported with clean, reliable patient information from day one.
